Remote Meeting Scheduling (Teams or Outlook365)

Issue:

I need to schedule a meeting with remote participants.

Resolution:

Schedule meeting in Teams

There are several ways to schedule a meeting:

  • During a chat. Select, Schedule a meeting Schedule a meeting button (this is below the compose box) to book a meeting with the people in the chat.

  • Planning a meeting. Select Calendar Meetings button on the left nav bar of the app and either select New meeting at the top right of the app, or select a range of time in your calendar and it will pop open a scheduling form. If you want to schedule a meeting with your Channel, use the pull-down box at the top-right of the scheduling form. 

    FYI, channels can't be edited or added once the invite is sent. You'll need to send a different new invite with the updated channels.)

Similar to Outlook, in the scheduling form is where you'll give a title to your meeting, invite people, and add meetings details.

 

Once you have the necessary attendees added, select Scheduling Assistant to find a time that works for everyone.

If the meeting is a recurring one, check the Repeat box. Once you do that, you'll be able to choose how often you want it to occur.

 

Schedule a Teams meeting in Outlook

To schedule a meeting, open Outlook and switch to the calendar view. Click New Teams Meeting at the top of the view.

Add your invitees to the To field—you can even invite entire contact groups (formerly known as distribution lists). Add your meeting subject, location, start time, and end time. Then click Send.
