Sharing Files with Secure Share

Issue:

Is there a way to share files with someone even if they are off campus?

How can I share files that are larger than 25 MB?

How can I share files that contain sensitive information?

 

Environment:

Secure Share

Internet connectivity

College of Charleston account holder to either share or accept files from someone

 

Resolution:

Secure Share is a Web-based application that allows users to securely and temporarily share file. You can access Secure Share from off campus as long as you have an Internet connection. Secure Share is available to faculty and staff at the College of Charleston. You may also share files with members of the general public.

 

Please note that this is for sharing files temporarily, and files will be deleted after 14 days.

Accessing Secure Share

  1. In a web browser go to https://secureshare.cofc.edu/
  2. Scroll to the bottom of the window and log-in using your CofC Email address and Cougars password.
  3. Click Login.

 

To share a file with someone

This option allows you to share a file from your computer to another person either on-campus or off-campus.

The sharing page will look like an email message

  1. Next to To type in the email address(es) of the people you wish to receive the file. (notice you can CC and BCC by clicking on the appropriate buttons below To.)
  2. Include a subject in the Subject line
  3. Add an optional Message if you would like
  4. Add the file by either dragging and dropping them into the Drop Files Here area
  5. or clicking on Add Files and selecting them from your computer.

OPTIONAL - Before you click Send let’s look at the options in the gray area on the right:

If you wish only specific people to be able to access the link to the file, check the box next to Require authentication to access/download.  Note, this does not require a CofC login.    RECOMMENDED:  Check the box.

  1. Choose the proper access.  RECOMMENDED:  select Only specified recipients can access.
  2. Shorten the time the file is stored by setting a date under Message Expires if desired
  3. You can also restrict the number of times an individual can download the file if you desire by typing in a number next to Downloads per Recipient.
  4. Click Send a copy to myself so you can see what the recipient will see.
  5. Private Message means that the message you typed in the email body will not be sent in the email but will instead be viewable when they click the link to the file itself
  6. Click Send.

 

To request a file be shared with you

This option allows you to request a large file from another person either on-campus or off-campus.

Once you log in you will be on the sharing page and it will look like an email message.

  1. At the top of the window click on Request File from the upper navigation.
  2. You will now be placed on an email-like window.
  3. Next to To type in the email address of the person you wish to send you the file.
  4. Next to Subject type in a subject to inform the recipients that you are requesting a file with them.
  5. Next to Message feel free to type in an email message requesting the specific file you want to access.
  6. Click Request File.

 

The recipient will receive an email that contains a link to Secure Share.  

Once they click it they just compose an email back to you and attach the file(s), then click Send.

You will receive an email with a link to the large shared file.
