Environment/Prerequisite:
The CofC employee must first be added to a security group (SG) that has permission to view the Public folder.
Office desktop app or Office 365 online
Cause:
Most shared department calendars are available as a Public Folder. The steps to add a Public folder to your Favorites varies, depending on which application you are using.
Resolution:
Using desktop Outlook app
Windows
- Open Outlook.
- Open Folders.
- You can access Folders by clicking the elipses on the bottom left, and selecting Folders from the pop-up.
- "Public Folders" will appear as an option at the end of the Navigation pane, under your Mail folders.
- Expand the Public Folders to view the subfolders by clicking the triangle next to it, and continue in this way until you get to the folder you wish to access. The most common set of Public Folders is "Departments" then whatever the name of your department is.
- Once you find the folder, right-click on it, and select Add to Favorites.
- Give it a new name, or accept the default name. Click Add.
- Switch to Calendars.
- Your newly added Public Folder will be viewable under "Other Calendars."
Mac
- Open Outlook.
- Click the Tools menu and click the Public Folders icon.
- In the left pane, under Public Folders, click the Exchange account you want.
- Navigate to the folder you wish to access and click Subscribe.
- Switch to your Calendars. The subscribed Public Folder appears under Subscribed Public Folders.
Office 365 Portal Online
- Log into the Office 365 Portal
- If necessary, click the waffle (set of 3X3 squares) and choose the Mail app.
- In the Navigation pane, right-click on "Favorites" and select "Add Public Folder to Favorites."
- The "Add a public folder to Favorites" window will open on the right, showing a list of "All Public Folders."
- Click the triangle next to the folder you want to open to unhide the subfolders. Keep doing this until you get to the folder you wish to open. The most common set of Public Folders is "Departments" then whatever the name of your department is.
- Once you find the folder you wish to add to your favorites, click on it to select it, then click the "Add to Favorites" option at the top. You can close this screen by clicking the X in the upper right corner -- not the X for your browser window, but the X that falls just under your profile picture.
- To view the Public folder, switch to the Calendar App. It will listed under "Other calendars."
