Google Account (Cmail) Access for Alumni

Issue:

I got a notice that my Google account was going away- is that true?

Will I keep my CofC Google account after I graduate?

What is the College's policy regarding Alumni email access?

Audience:

Alumni

Environment:

GSuite for Education (Cmail)

Alumni

Cause:

Due to College account retention policy, alumni accounts will be removed one year after graduation or leaving the College. This removal includes any online portals, Microsoft Office365, and all Google applications (e.g. gmail, drive, etc.).

This change is effective on December 1, 2022 for all who graduated or left the College prior to January 1, 2022. If a current alum does not presently have an account in the current systems, new accounts will not be created for them. Moving forward, alumni will keep their account for one year after leaving the College. After that year time, their accounts will be retired.

Resolution:

Some answers to frequently asked questions:

When will this change occur?

College of Charleston user accounts (username@g.cofc.edu) for Alumni that graduated before January 1, 2022 will be retired on December 1, 2022.  This includes access to any portals, Microsoft Office 365, and all Google applications (e.g. gmail, drive, etc.). Moving forward, alumni will keep their account for one year after leaving the College. You can update your contact email on file with Alumni Affairs via their website.

I am a new graduate or will be graduating soon- how long will my email be active?

Alumni that graduated before January 1, 2022 will be retired on December 1, 2022.  This includes access to any portals, Microsoft Office 365, and all Google applications (e.g. gmail, drive, etc.). Moving forward, alumni will keep their account for one year after leaving the College. After that time, the account will be removed.

How do I migrate my data from my @g.cofc.edu account?

Please use the Google Transfer tool (https://takeout.google.com/transfer) to copy your files and email to a personal @gmail.com account, or use Google Takeout (https://takeout.google.com) to download a copy of your account to your computer. You should also update your alumni contact information using https://alumni.cofc.edu/class-note-form. Alumni should also set their account to forward any new mail to the personal account.

Can I forward my emails after December 1st?

No, that is not possible. You can set up an automatic reply to encourage contacts to reach out to a new email account in advance, though. We also would advise updating any other accounts that may use your Google account for authentication, access, etc.

How will the College communicate with me moving forward?

You will need to update your information on file with Alumni Affairs to ensure communications are maintained after December 1, 2022.

Will I retain access to my College Microsoft accounts (OneDrive/Teams, etc.) after this change?

Alumni accounts in our Microsoft portal will have the same change and ongoing policy applied to them. More information regarding this additional change will be communicated, but current storage on your College OneDrive account should be reviewed and existing storage in your College Google account should not be placed in that portal.

My CofC Google account is linked to other services/online platforms- what should I do?

Alumni are responsible for tracking and updating personal services that may use the CofC @g.cofc.edu account as a username, contact email, or account recovery method. Your CofC account may be linked or used by non-CofC systems (social media accounts, banking, etc.)- you will want to review where your account is being used to ensure that your records use a personal account moving forward. Some suggestions that may help (although not exhaustive) are noted.

Find accounts linked to your email:

Check browser’s saved accounts information.

  • You may have autofill enabled for your web browser- this is where it stores a username/password for ease of use later. You can log in and view what is currently using your @g.cofc.edu account.
  • May need to find additional information via the vendor for your specific browser or device type
  • Reminder- you may need to export your bookmarks! The settings for this will depend on your browser (Google Chrome, Firefox, etc.).

How do I report an issue with this change that is not addressed by the above questions?
